Devine help dramatically enhance Superclean’s internal processes with real-time system

Superclean have been providing premium cleaning and hygiene solutions since 1976. They operate a one-stop-shop with an extensive product range for all types of cleaning needs.

Reputable brands, a simple ordering process, friendly staff, exceptional service, and satisfied customers, all combine to make Superclean a supplier of choice for more than four decades.

When it came to their internal processes such as the management of variable customer pricing, invoicing and packing slips, they were in need of a business-wide systems upgrade.

Enter Devine Technology with solutions that have changed the way Superclean work by improving overall efficiency and allowing essential real-time access to their internal system.

 

Here’s what Craig from accounts at Superclean had to say about their new way of working.

Can you briefly explain the processes you were working with prior to engaging with Devine with regards to using multiple systems such as MYOB files, Excel spreadsheets, and paper-based ways of working?

“We’d predominantly been using an offline version of MYOB for customer invoicing. And because it wasn’t a real-time online system we had to manually upload all the entries and financial data daily, which wasn’t ideal.

We used Excel spreadsheets for contract pricing and price lists. Packing slips were all hand-written with paper-based duplicate pads. Invoices were manually entered into the offline MYOB system. Another MYOB file was used for price checking inwards goods and the supplier monthly payments were also processed via a spreadsheet.

As you can imagine we were doing a lot of manual work with our offline version of MYOB, spreadsheets, and our paper-based systems.”

How did the referral to Devine from Infusion come about?

“We’d been investigating alternatives for new business software and Infusion was the system that appealed to us the most. I’d made a general enquiry with Infusion directly to find out more about the system, then when we decided this looked like an option that would be able to accommodate virtually everything we wanted to do, we contacted them and they directed us to Devine Technology.”

Once you’d met with Devine and they’d listened to how you were operating and how you wanted to operate, what did they offer as a solution?

“We contacted Devine and Chris Devine visited us to discuss the options, which included both MYOB (online version) and Infusion. He advised us Infusion would be the software that would suit us best as it had the kitset and contract pricing functions we required.”

With regards to the migration and transition from your existing ways of working to having everything in one place inside Infusion, was there any downtime or disruption to operations?

“No downtime at all, which was great. The migration and transition from our current system(s) to Infusion were 100% seamless.”

Once your new way of working with Infusion was up and running, what were the changes staff noticed and how were business operations improved?

“The most significant benefit has been the time saved not handwriting packing slips. Also, suddenly everyone had instant real-time access to all the information they required. Tracking orders improved immediately. The customer discount matrix works exceptionally well but is still a work-in-progress due to our discounting policies.”
